The Proposal Coordinator will support Willbros Canada activities in several capacities by coordinating proposals through each established gate process. Additionally, this function will be responsible for working within Willbros Canada to support administrative duties required by the business unit. 


  • Assist in the preparation of pre-qualification, proposal and tender submissions;
  • Confirm receipt of completed packages; inclusive of instruction, contact, SOW, drawings, specifications, etc.
  • Review and understand RFP requirements and instructions; ensure compliance with proposal submission documents;
  • Develop RASCI reflecting proposal requirements and key dates;
  • Liaise openly and effectively with consultants, internal staff and stakeholders to coordinate and develop proposal content;
  • Maintain standard project execution plans, organization charts and other proposal database content;
  • Assist in preparing and editing presentation and other marketing and communication documents as required
  • Assists with technical editing, document management and content development;
  • Responsible for the management, submission and record retention of Clarifications;
  • Schedule, coordinate and lead proposal meetings as per internal process;
  • Assembles proposal information to provide a cohesive presentation format;
  • Responsible for proposal submission;
  • Prepare and ensure completion and accuracy of documentation required for CSRC (Corporate Sales Review Committee);
  • Produce and review charts, graphs, tables, presentations, letters, and other documents as requested
  • Performs all other position related duties as assigned or requested




  • Bachelor’s Degree in English, Journalism, Marketing, or related major
  • Other post-secondary education will be considered




  • Five - Ten years of related experience
  • Relevant experience with RFI, RFQ and/or RFP coordination and development
  • Other applicable experience in an office environment

  • Strong organizational and document management skills
  • Strong copywriting skills and the ability to communicate complex ideas
  • High degree of skill in MS Word, Excel, PowerPoint, Publisher, Visio, SharePoint and Adobe Pro
  • Excellent written and oral communication skills
  • Exceptional customer service skills
  • Ability to operate independently and in a team environment
  • Ability to communicate effectively with technical staff, peers, management, and customers
  • Ability to work under stress and within tight deadlines while maintaining the highest degree of qualit
