    Primoris Willbros Canada is looking for an Administration Specialist to be responsible for the coordination of the site office administration including various clerical functions and ensuring that all relevant financial and accounting, data and reports are accurate, prepared in a timely manner and available to the relevant, authorized individuals and head office.


    Start Date: Subject to project award

    Shift : Subject to project award.



    ** Locals to Fort McMurray are preferred**


    The Administrative Specialist is responsible for, but not limited to:



    • Prepare and maintain company documents and reports
    • Collection, entry and filing of site expense reports
    • Make travel arrangements including airline and hotel reservations for employees
    • Secretarial duties for the site supervision
    • Maintenance of administrative databases as required
    • Direct all inquiries to the appropriate party
    • Coordination and scheduling of all site management meetings, team meetings, conferences and appointments
    • Handle incoming and outgoing mail
    • Provide support in preparing project documents and reporting



    • Coordinating the preparation of the reporting of monthly site operating results
    • Coordinating the preparation of weekly site status reports
    • Coordinating the preparation of monthly and quarterly financial reports
    • Preparation of other operational reports as required (i.e. Manpower reports, job cost reports, labour cost reports, etc.)



    • Performing as the site IT Coordinator
    • Assist in the development, alignment and management of existing financial and job cost reports
    • Act as the site’s interface with JD Edwards issues


    • High School Diploma or equivalent required
    • Strong Excel knowledge
    • 3 – 5 years administrative support in an industry setting



    • Bachelor’s degree or college diploma in Business Administration or equivalent
    • Advanced abilities with Microsoft office applications including Outlook, Excel, PowerPoint, Access and Word
    • SAP experience preferred
    • Sound knowledge of computer software such as JD Edwards and TAC
    • Requires the ability to exercise independent judgment and basic reasoning skills
    • Excellent verbal and written communication skills
    • Ability to work in a fast paced environment
    • Strong analytical, communication and multi-tasking skills
    • Must be flexible, responsive and resourceful
